How Probot Systems collects, uses and protects your personal information, on our website and in the Probot Palletizer mobile app. Last updated: October 9, 2026.

1. Our commitment

Probot Systems Inc. (“Probot”, “we”) respects your privacy. This policy explains what personal information we collect, why and how we use it, who we share it with, how long we keep it and how you can exercise your rights. It applies to probotsystems.com, to the Probot Palletizer mobile app (see section 13) and to our dealings with you. It is written in accordance with Quebec’s Act respecting the protection of personal information in the private sector, as amended by Law 25, and with applicable federal law (PIPEDA).

2. Person in charge of the protection of personal information

The person in charge of the protection of personal information at Probot is:
Pierre-Étienne Germain, President
Probot Systems Inc., 8895 rue des Cordiers, Suite 300, Lévis, Quebec G6Y 0K5
Email: info@probotsystems.com · Phone: +1 (418) 948-0909
Contact this person with any question, access request or complaint about your personal information.

3. Information we collect

We only collect the information needed for the purposes stated at the time of collection:
• Quote or contact requests: name, company, email, phone, industry and the content of your message.
• Guide download: name, business email and company.
• Newsletter: email address.
• Job applications: name, contact details, LinkedIn profile, desired position, availability date and résumé.
• Orders and services: contact details, shipping and billing addresses, and the information needed to deliver the service. Card payments are processed by a payment provider; we do not store card numbers.
• Browsing the site: IP address, device and browser type, pages viewed and data collected by cookies, according to your consent choices (see section 6).
We do not knowingly collect sensitive information, or information about persons under 14.

4. Why we use it

We use your information to:
• answer your requests and prepare quotes;
• send you the guide or newsletter you asked for;
• process orders, shipping, installation, maintenance and after-sales service;
• assess job applications and manage the hiring process;
• keep the site secure and block automated (spam) submissions;
• measure site usage and improve its content;
• with your consent, measure the performance of our ads and show you relevant advertising;
• meet our legal obligations.
We do not sell your personal information. If we want to use it for another purpose, we will ask for your consent, except where the law allows otherwise.

5. Your consent

By filling out a form, you consent to the use of your information for the purposes described in that form and in this policy. You may withdraw your consent at any time by contacting us or, for the newsletter, by clicking the unsubscribe link in each email. Withdrawing consent may limit our ability to provide certain services.

6. Cookies and tracking technologies

Our site uses cookies and similar technologies. Cookies that are not strictly necessary (statistics and marketing) are turned off by default and are only enabled if you agree through the cookie banner. You can change your choices at any time from that banner or by deleting cookies in your browser.
• Necessary: site operation, remembering your consent choices and form security (Google reCAPTCHA).
• Statistics: audience measurement with Google Analytics, deployed through Google Tag Manager.
• Marketing: Google Ads, Meta (Facebook/Instagram) and HubSpot, to measure campaign performance, follow visits related to a request and show you relevant ads.
Some of these technologies can identify you, locate you approximately or build a profile of your interests; they are only used with your consent.

7. Who we share your information with

Your information is only accessible to Probot employees who need it to do their work. We also use service providers that process it on our behalf:
• HubSpot: customer relationship management and communications;
• Google: email, analytics, advertising and spam protection;
• Meta: ad measurement (if you consent);
• OVHcloud: hosting of the website and of the Probot Palletizer app server;
• Anthropic, Twilio, Resend and Sentry: AI assistant, SMS verification codes, account emails and crash reports in the Probot Palletizer app (see section 13);
• our carriers and partners, when needed to deliver a product or perform a service.
These providers are contractually bound to use your information only to provide their services to us and to protect it. We may also disclose information when required or permitted by law.

8. Information stored outside Quebec

Some of our providers (including HubSpot, Google, Meta, Anthropic, Twilio and Resend) store information outside Quebec, including in the United States. The Probot Palletizer app server is hosted by OVHcloud in Canada. Before sharing information outside Quebec, we assess, as required by law, whether it will receive adequate protection, and we govern the transfer by contract. The information may then be subject to the laws of those jurisdictions.

9. Retention

We keep your information only as long as needed for the purposes for which it was collected, or as long as required by law (for example accounting and tax records). It is then securely destroyed or anonymized. Unsuccessful job applications are kept for a limited time so we can contact you about future openings, unless you ask us to delete them sooner.

10. Security and confidentiality incidents

We take reasonable security measures to protect your information: encrypted connection (HTTPS), access limited to authorized people, passwords and authentication, and spam protection on forms. No method is foolproof, however. If a confidentiality incident presents a risk of serious injury, we will notify the Commission d’accès à l’information and the people concerned, as required by law, and we keep a register of incidents.

11. Your rights

Subject to the exceptions provided by law, you may:
• request access to the personal information we hold about you;
• request the correction of inaccurate, incomplete or ambiguous information;
• withdraw your consent to its use or disclosure;
• request your computerized information in a structured, commonly used technological format;
• request that we stop disseminating information about you or de-index a hyperlink, in the cases provided by law;
• be informed when your information is used to make a decision based exclusively on automated processing (we make no such decisions).
To exercise these rights, write to the person in charge named in section 2. We will reply within 30 days. If you are not satisfied, you may file a complaint with the Commission d’accès à l’information du Québec or, where applicable, the Office of the Privacy Commissioner of Canada.

12. Links to other sites

Our site may contain links to third-party sites (for example funding agencies or our partners). We are not responsible for their practices; please read their own privacy policies.

13. Probot Palletizer mobile app

Probot Palletizer is a mobile app published by Probot Systems Inc. to configure and operate Probot robotic palletizing cells built on FANUC robots. This section describes the information the app handles. The rest of this policy also applies to it, in particular the person in charge (section 2), security incidents (section 10) and your rights (section 11).

Your account

When you sign up, we collect your first and last name, email address, phone number, organization (optional) and a password. We use them to create and secure your account, confirm your email address, verify your phone number with a code sent by SMS, reset your password and write to you about your account. Your password is stored only in hashed form.
Signing in creates session tokens, kept in your device’s secure storage (Keychain or Keystore). A session ends after 30 days without use, and after 90 days at most.
In Simulation mode, the recipes you save are backed up to your account on our server so you can find them again.

AI assistant

The assistant answers operators’ questions about the cell. The app asks for your consent before you use it for the first time. When you ask a question, the conversation and a machine context are sent to our server, which forwards them to Anthropic, the provider of the AI model (Claude), to produce the answer.
The machine context includes active alarm codes and text, robot mode, current program, speed override, station recipe identifiers and box counts, app version, the current screen, local time and whether Simulation mode is on. Alarm history and robot positions are only sent when the assistant needs them to answer.
Our server does not keep conversations: they stay on your device. We do record how much of the AI allowance each account or licensed machine uses. If you report an answer, the conversation, the reason you chose and your comment are sent to us so we can review that answer.
Please do not include personal information about yourself or others in your questions.

Crash reports

When the app crashes or encounters an error, it sends a diagnostic report to Sentry: technical error details, device model and operating system, app version, a random installation identifier and details of recent requests to the robot, including its local IP address. No name, email address or account identifier is attached. We use these reports only to fix problems in the app.

What stays on your device or your network

• Camera: images used to scan barcodes are processed on your device; they are neither stored nor sent. On Android, barcode reading uses Google’s ML Kit library, which may send Google anonymous diagnostic data about how the library performs.
• Robot: communication with the robot (HTTP, FTP, OPC UA) stays on your local network. Only what is included in the AI assistant’s machine context leaves it.
• Device: app settings, the supervisor PIN (stored hashed) and locally saved recipes stay on the device until you uninstall the app.

Who receives this information and where

Our app server is hosted by OVHcloud in Canada. The service providers involved are:
• Anthropic (United States): AI assistant answers;
• Twilio (United States): SMS verification codes;
• Resend (United States): automatic account emails (confirmation, password reset, account deletion);
• Sentry (United States): crash reports;
• Google: our mailbox, when you write to support@probotsystems.com, and, on Android only, barcode library diagnostics.
We do not sell information collected through the app and do not share it for advertising.

Retention and account deletion

• Account information is kept until you delete the account. Sign-ups that are never confirmed are released after 30 days.
• Recipes backed up in Simulation mode are deleted with the account, or after one year without any sign-in.
• AI conversations are not kept by our server. Answers you report are kept for 12 months so we can review them and improve the assistant.
• Crash reports are kept by Sentry for 30 days, then deleted.
You can delete your account at any time, in the app (menu → Accounts → Delete account) or on our Delete account page, without the app. Deletion is immediate and permanent: it removes your account, the recipes backed up to it and every session.

Security

Connections between the app and our server are encrypted (HTTPS). Passwords are stored hashed, session tokens are kept in the device’s secure storage, and five wrong passwords lock the account for 15 minutes. Access to the server is limited to authorized Probot staff.

What the app does not do

The app shows no ads, contains no analytics or advertising library and does not track you across other companies’ apps or websites. It is a tool for industrial operators and supervisors and is not directed at children. It asks for two permissions: the camera, to scan barcodes, and, on iOS, local network access, to reach the robot.

14. Changes to this policy

We may update this policy to reflect changes in our activities or in the law. The current version is always published on this page with its update date. If we make a significant change, we will display it clearly on the site.
